What does this tool calculate?
You upload the list of open invoices as it comes out of your system, and the tool assigns each invoice's balance to its age bucket: not yet due, then 1–30, 31–60, 61–90, 91–180, and more than 180 days. It gives you a table for each customer, the total for each bucket, and the customers to follow up first (the largest amounts over 90 days). The file is read inside your browser and is not uploaded to any server.
The file you need
- A customer name column.
- An invoice date or due date column (or both).
- An outstanding amount column; a credit note entered as a negative amount reduces the balance of its bucket.
The tool recognizes headers in Arabic and English, and ignores the total line. If the file has no due date, age is calculated from the invoice date.
Worked example
A list dated 28 October 2026 with five invoices for three customers, one of them a credit note of 1,000 SAR. Aging from the invoice date: 1–30 days 10,000.00 SAR, 31–60 days (1,000.00), 61–90 days 5,000.00, 91–180 days 8,000.00, and more than 180 days 4,000.00; the total is 26,000.00 SAR, of which 12,000.00 SAR is more than 90 days overdue.
Aging from the due date, the invoice that has not reached its due date becomes “not yet due” (10,000.00 SAR), and the overdue amount is 16,000.00 SAR.
Allowance for doubtful debts
You can enter an allowance rate for each bucket based on your own estimate and your business's experience, and the tool calculates the suggested allowance: the sum of (each bucket's balance × its rate). There are no statutory rates; IFRS 9 (Financial Instruments), as adopted in the Kingdom, requires an estimate of expected credit losses. In the example, at rates of 0%, 1%, 5%, 10%, 25% and 50%, the allowance is 4,240.00 SAR.
The Excel file
After registering, you download an Excel file with an Invoices sheet showing each invoice's age by a formula from the calculation date, and an Aging sheet for each customer using SUMIFS formulas; change the calculation date and all the ages update. The final reference is the official text and your business's account with the competent authority.
